EXPECTATIONS AND TASKS

In this role as Assistant, your main responsibility will be to support the Head of Infrastructure Services. In doing so, you will:

  • Provide liaison between the Cloud Infrastructure Services Management , key SAP and executives and employees

  • Manage usual administrational tasks like calendar management, mail-box, workflow and action tracking

  • Being proactive and able to identify and solve problems

  • Handle ad-hoc tasks and specific topics

  • Support in communication within the team and across units

  • Prepare topic content for speeches, presentations, informative documentation, etc.

  • Be the central point-of-contact to arrange all travels of CIS Head (incl. Travel reimbursement) to other SAP locations; CIO Events, Customer events incl. Communication preparation e.g. key notes etc. (Building complete agenda of the trip, align with the local teams on execution and participation, ensure timely and adequate preparation and briefing of CIS Head)

  • Co-ordinate and execute small projects and special tasks for the Head of Cloud Infrastructure Services

  • Organize and support meetings, conference calls, video conferences and telepresence including minutes preparation and action item tracking

  • Support HR and Controlling tasks and processes

  • Organize on own responsibility customer events

  • Broad understanding of SAP’s business and market position, familiarity with elements of IT and Cloud and Infrastructure Delivery

  • Experience working with colleagues on all levels of the organization including senior management, and from various locations will be seen as asset

  • Excellent communications skills, fluent written and spoken German and English

  • Proficient knowledge of MS Office applications (Outlook, Word, Excel, PowerPoint)

  • Knowledge of internal systems at SAP (such as ISP, CSS, SAP Corporate Portal)

  • High level of initiative, talent for organization, dedication to taking responsibility and ensuring quality are essential

  • Academic degree in business management or equivalent is a plus

  • Several years of dynamic work with senior executive management level

  • Very strong communication skills

  • Highly flexible and fast in daily operations

  • Strong skills in working under time pressure and high workload

  • Strong intercultural experience

  • Experience in working with customers

  • Flexible and capable of managing tasks and topics with a very broad variety; quick and eager to learn

  • Lead /Managing projects inkl. PMO activities like Cost controlling, Forecast, monitoring budget etc.

WORK EXPERIENCE

  • Minimum 5-10 years of professional experience, thereof min of 3 years within SAP

  • At least 5 years of experience in office management
