Specific Responsibilities

The Analyst Business Operations I is a vacant role within the local Order To Cash/Customer-Services Team. The position will manage daily business (customer orders, customer communication, returns) and support team members in day to day work. The role is very “customer” facing to internal and external customers collaborating cross-functional with various internal teams (eg. finance, analytics, manufacturing, sales etc).

Essential Duties and Job FunctionsStrong support and handling of Daily Business Needs (Order Taking, Returns Handling, Customer communication).

Primary contact for product orders, returns credits and complaints.

Interaction with Gilead Ireland, Manufacturing, Materials Management, Distribution and QA to resolve issues or facilitate these to ensure timely delivery of orders or returned products.

Gathers, collects, records, tracks and verifies relatively complex data and information from multiple sources.

Ensures commercial terms and conditions are implemented.

Is responsible for internal and external monthly declarations (especially to authorities)

Assists with developing, implementing and complying with standardized departmental operation procedures

Identifies needs for customer and sales database, reports and management information and adopts accordingly in Oracle EBS and other porting systems.

Helps with audit preparations (internal/external)

Understands the sensitive and confidential nature of the role and acts on this with highest integrity.

Supports other team members.

Has a positive attitude towards challenges.

Can handle unplanned last minute changes working in a fast moving environment.

Can cope with stress related to pressured deadlines and demands.

Knowledge, Experience and SkillsBusiness degree e.g. in Economics (Bachelor/Master)in economics or professional experience for at least 5 years

Customer service experience or logistics experience is required.

Experience in a hands-on mentality organization.

Advanced knowledge and experience using a number of office software

Self-driven and pro-active. Good verbal, written, and interpersonal skills are required.

Works under minimal supervision. Receives occasional direction from manager to perform non-routine job responsibilities and duties.

Fluent in Business English (verbal and writing).

Very good skills in German (verbal and writing) are mandatory.

Relevant knowledge of business standards and regulations is benefical.

Good Distribution Practice (GDP) experience is beneficial.

Industry experience is desired but not mandatory.
