Job Purpose :

Oversees Germany to ensure the long-term real estate strategy for Citi is established and support Business growth plans by providing strategic space planning in order to ensure optimum, cost-effective and planned real estate expansion or downsizing.

To provide professional expertise to ensure that Citi's real estate property investments and standards are protected to the greatest extent possible through professional, effective and prudent management of the building operations and the expense base, and by maintaining a safe, functional and productive working environment within the portfolio.

Reporting directly to CRS Europe Cluster Head and matrix into SCOO Germany.

  • Planning, development and implementation of strategies to increase value of Real Estate wallet for Germany. Presentation of both tactical and strategic real estate strategies and alignment with business stakeholders and within regional and global CRS organization. Ensuring long-term real estate strategy for Germany is established and clearly communicated internally.

  • Supporting Citi Germany business growth and optimization plans by early engagement with business heads and ongoing premises vacancy monitoring. Providing strategic space planning in order to ensure optimum, cost-effective and strategic occupancy going forward. Planning expansion and reduction flexibility into the portfolio commitments.

  • Providing professional expertise to ensure that Citi's real estate property investments and standards are protected to the greatest extent possible through professional, effective and prudent management of the building operations and the expense base, and by maintaining a safe, functional and productive working environment within the portfolio.

  • Ensuring the efficiency of building infrastructure to fully support continuity of business within the portfolio, including regional data centre.

  • Assets management, usage and control as per CRS department’s scope and action. Vendor relationship with local representatives of appointed regional or global provider or providers of Facility Management and Building Operations. Coordinating of the provider’s on-site team within the portfolio

  • Selecting and implementing best practices and controlling subcontractors on both local and regional scale.

  • Responsibility for CRS-related P&L and management of operating and investment budgets.

  • Communication at the management level with the other services organizations inside in order to ensure comprehensive customer services.

  • Project managing and ensuring of realization every projects within agreed timeframes, expected quality, and according to the approved budget while ensuring a full satisfaction from business stakeholders. Being a single point of contact for managing CRS projects in renovation, space planning, relocation or consolidation of operations and disposition of surplus property.

  • Ensuring the legal regulations, safety, security procedures and environmental compliance to manage operations for all CRS activities.

  • Effective and regular cooperation between landlords, external providers and internal clients, securing service delivery at expected, high quality level.

  • Conducting proactive Third Party Management in line with Citi procedures to include maintenance of approved vendor list, tendering, awarding and monitoring of contracts and any other procurement activity related to the Asset Management function.

  • Preparing investment and operating budget for CRS plus appropriate controlling.

  • Ensuring the right image of CRS department though the professional and effective portfolio managing.

  • Ensuring the safe, functional and productive work environment.

  • Build a sustainable long term Real Estate strategy that is in line with the Continuity of Business (COB) expectations, Fire and Life Safety, and other business, corporation and CRS needs. Ensure CRS global space and building standards are followed as well as local regulatory requirements

  • Ensure business charges are transparent, explained and smooth

  • Ensure that services provided to CRS Germany are covered by appropriate Intercompany and/or 3rd party vendor approvals and documentation

  • Pass Internal Audit Reviews with acceptable levels. Maintain an effective risk control monitoring within the department through leveraging the local ORM and CRS Hub Risk functions

  • Contribute to Germany Management Committee, BRCC, COB department activities through attendance and active participation.

  • Ensure that CRS global, regional policies are adhered to.

  • Build effective team and ensure maker checker processes are in place.

  • Recognize internally and externally resources that influence the way things are done, not only internally, but beyond the business.

  • Actively participate and support Citi Germany and CRS department activities

  • Be a role model in delivering Citiworks space and embracing the Citiworks concept through personal leadership and team approach.

  • Solicit feedback from stakeholders on process improvements.

Duties associated with Frankfurt Data Centre

Act as a liaison between DCSM, CRS and Frankfurt Data centre owner to ensure all standard operating processes and procedures are fully supported. This to include but not limited to

  • Global incident report – initiation, updating and completion as required.

  • REALM- PPM system ensuringcritical asset maintenance is completed, updating system taking copies of service reports as required for audit purposes and ensure maintenance schedules are as per our existing standards

  • Manage TechFacE periodical evaluations and assessments

  • Servicenow – change management. Reviewing, raising and obtaining approval of all RFC’s for maintenance activities and project works, maintain forward planning calendar and liaise between DCSM with owners regarding change freeze period

  • Quality assurance – Providing and assisting with internal and external audits as required by the business

  • Projects works – Utilizing REALM to raise projects as required by CRS and DCSM.Manage existing project completion

  • Original defect warranty project , liaise with owner to agree completion and arrange for that completion, authorize payment of invoices and refund from bond holders

  • PUE – Liaise with new owners to monitor update and recordenergy values for on going PUE efforts

  • Raise access requests as required for our own subcontractors.

  • Carry out full risk assessment and method statement analysis of any works within our occupied space and liaise with new owners with regards to FLS isolations to ensure continuedwork

  • Monitor FLS processes to ensure compliance with local and CITI standards

  • Liaise with new owners and there service providers , provide a conduit for DCSM and CRS by setting up and running co-ordination meetings

Qualifications

Knowledge and Experience :

  • Experience in energy management, sourcing, signage and interior design standards
